Rising Stars of the South Quartet Competition
Barbershop Quartet Contest for Young Women
Thursday, March 18, 2009, at 6:00 p.m.
Chattanooga Marriott Hotel – Chattanooga, Tennessee
Sponsored by the Heart of Dixie Region #23 of Sweet Adelines International

Eligible contestants:	Female quartets whose members reside or attend school in Tennessee, Alabama, Georgia, Mississippi, or the panhandle of Florida; and are aged 25 or under as of October 23, 2010. NOTE: $100 Vickie Wonders Foltz Grants to help with cost of travel/contest preparation, applications due 2/1/10
Contest	Quartets will perform two songs in four-part barbershop-style harmony. Performances will be evaluated by judges in four categories – Sound, Music, Expression, and Showmanship. Contest rules parallel those of the Rising Star International Competition. For a copy of these rules or a competition registration packet, please contact Jennifer Cooke, Region 23 YWIH Coordinator (information below).
Competition	The contest will be held in conjunction with the Heart of Dixie Region #23 Regional Quartet and Chorus Competition. Each competing quartet and a chaperone will receive complimentary tickets to the competition sessions and the Saturday night afterglow; all travel and other accommodations are the responsibility of the competitors.
Awards	1. First-place (champion) quartet will perform at the Saturday night afterglow show (March 20). 2. Champion quartet will have the opportunity to compete in the International Rising Star competition in Seattle, Washington, on Saturday, October 23, 2010. Region #23 will provide $400.00 towards this event.

Hotel reservations for the 2010 Regional Convention will be at the Chattanooga Marriott at the Convention Center, 2 Carter Plaza, Chattanooga, TN 37402; 423-756-0002. Requests for room reservations must be postmarked by February 1, 2010 Availability at the headquarters hotel is not guaranteed if postmarked after February 1, 2010.

The hotel has given us a flat rate of $107.87 per room night with up to four people in the room.
All reservations must be made through Rachel Canatsey, Housing Manager. Rachel’s email address is: r23housing@yahoo.com.
A chorus representative will need to collect all reservations (print and duplicate member form on page 24 of Handbook; set an internal deadline), enter them into an Excel spreadsheet (file in the ATTACHMENT SECTION - click or scroll down) and then forward them to Rachel ELECTRONICALLY by February 1.

NO CHECKS WILL BE COLLECTED. We will be using a credit card to guarantee each room so please make sure there is a credit card number on each room reservation. No charge will be made to the card until check out. When you check in, please let the front desk know how you will be paying for your share of the room.
Please keep in mind that two people in a room may be assigned a king bed rather than two double beds in an effort to keep choruses together in a block.
Please note on the reservation form if you need a handicapped room.
(Note: There are no ground level rooms at the Marriott. Our rooms will start on the 4th floor.)
Hotel check in is 4:00 p.m. and check out is noon. If early check in is needed, please let Rachel know on the reservation form. The hotel tries to accommodate early check-in but cannot guarantee it. Please be patient with the hotel staff as they are trying to get you into your room as quickly as possible and their track record is a good one! All rooms are pre-keyed to help expedite the check in process.
There is valet parking with in/out privileges at a cost of $14/day, or you may choose to park your own car with a charge of $10/day. Also, all rooms are equipped with a hair dryer, iron and ironing board and a small coffee pot. There is an exercise room available and the pool hours are 6:00 a.m. - 10:00 p.m. Please, please bring a wash cloth from home to remove your competition makeup.
If you would like to schedule a group meal (breakfast or dinner) please get in touch with Angela Pittman at the Marriott, 423-308-1081. You can give the hotel a "heads up" now that you want a meal and let them know a specific time later.
CANCELLATION POLICY – The Marriott has a 72 hour cancellation policy. Please know that if you cancel within this time frame, you will be charged for one night’s stay.
REMEMBER: No rooms are guaranteed after February 1. If you have any questions, please contact Rachel Canatsey at r23housing@yahoo.com or 330-883-2991. All questions about housing, as of March 15, should go directly to the Marriott.

Below (in the ATTACHMENT section) is the registration worksheet for the Convention Registration Badges fo Region 23's 2009 Competition to be held in Chattanooga March 18 – March 21, 2010.

In keeping with what has been successful in the past, we will be mailing out the CRBs to choruses in advance. We are looking to seeing you in Chattanooga. If you have any questions, please contact Tara Smith, Registration Manager, at r23registration@yahoo.com or 850-587-4340.

PROCEDURES & KEY DATES:

Each chapter must electronically submit a list of names (members and non-members) for CRB by February 1

2. List names in alphabetical order; include SAI member numbers for memberrs

Each chapter must submit a single check via US Mail; note price change at early bird deadline 2/1/2010

All participating members must purchase an CRB. Member and Non-Member prices are the same this year

CRBs cover admission to the Quartet and Chorus Competitions. Badges must be worn for entry to all events.
CRBs will be mailed to each chorus by March 7
CRBs are non-refundable; however, the purchaser may transfer the registration to someone else. We request that member CRBs be transferred to members and non-member CRBs to non-members when possible and practical. Please advise Tara Smith of any needed name changes.

CAL/MAL Members - you do not need to complete a spreadsheet. Complete the CAL/MAL registration form (found on page 18 in the Convention Handbook). Complete and mail with payment. Please also email the CRB information to Tara Smith, as noted on in the Handbook

Kinder, Region 23 CRC With *Nashville Bound* coming in just a few weeks, we’re looking forward to everyone returning to Chattanooga for our annual Convention and Competition. It is very important for all, to carefully look over and relay this information to competing chorus and quartet members. Information from Nancy Field, CC and Natalie Allen, EVC has also been sent...please read everything! Changes have been made this year in an effort to streamline the traffic pattern…there’s a new photographer in town…we’re starting earlier with the quartet competition…we are offering a larger selection on boxed lunches…just little changes that can make a big difference. The entire Region 23 Convention Committee has been working very hard for each competitor that will cross the stage. Our official Judging Panel will be: Sound: Ozzi Mask; Annandale, VA, Region 14 Music: June Berg; South Barrington, IL, Region 22 Expression: Vickie Maybury; Centennial, CO, Region 8 Showmanship: Gina Kaiser; Clearwater, FL, Region 1 Panel Secretary: Gail Burke; Bradenton, FL, Region 9 June Berg will also serve as Panel Chair. FYI *HOSTESSES:* The ladies from TuneTown Show Chorus are ready to lead you through the pattern. *There are changes in the* *pattern this year...please let these ladies guide you through so that you can concentrate on your competition. Hostesses will be present throughout the pattern; there will not be individual hostesses for quartets or choruses. Notes on Contest Etiquette
The doors to the auditorium will be closed and will remain closed for each performance. You are free to leave the auditorium, for concessions or restrooms, but you may have to wait to return to your seat. Please ensure that your cell phone and other audible electronics are completely off. Photography of any kind is not allowed during the performances; there is only one authorized convention photographer. Audio recording is not allowed.

Because this is a contest, the judges must complete their remarks and scores after each performance. They do this as quickly as possible, but occasionally there is a delay. Please be patient.

The performers do not know what songs other groups have sung. Sometimes a particular song is repeated several times during a contest. Please remember to give each contestant an opportunity to sing their songs, and try to listen to them as if it's the first time. This may sound silly, but sometimes the audience sighs when they recognize a popular song, and that can be disheartening to the singers on stage!

Each performing group returns to the auditorium via a side door and sits in the house for the remainder of the contest. It is customary to greet their entrance into the house with a second round of applause.

Please limit your use of hairspray and perfume when attending the contests; strong scents and chemicals can make their way to the stage and can cause breathing trouble for some competitors.

Director News

We have a new director along with a new name for Crossroads of the South Chorus in Jackson, MS.

Marsha (Fortune) Ray is now directing and the new chorus name is Center Stage Show Chorus. Marsha is an experienced director and has directed this chorus in the past. Welcome back Marsha. Center Stage Show Chorus Is fortunate to have you and your knowledge.
Congratulations on both changes.

Sally Whitledge of Scenic City Chorus in Chattanooga, TN, recently announced her retirement from directing. We will certainly miss her smiling face, her arm waving, and her expertise at our chats and at competition. Good luck with your next endeavor Sally. Scenic City Chorus was not without a director for long. Jen Cooke has started as their new director. Congratulations to Jen and Scenic City.

DCP PROGRAM

Enrica Ramey is continuing as our DCP coordinator. Thank you so much Enrica. There is one new applicant this year, and there are 29 other active candidates. Many are now taking advantage of the new opportunity to take tests given by their directors (those that are certified). This really helps in getting through the program. Please encourage your chorus members to take advantage of the DCP program. There is a wealth of information useful to everyone, not just directors.

We now have 2 approved directors, 39 certified directors, and 4 master directors. GO REGION 23!

STAR SONG PROGRAM

Stacy Branch is continuing as our STAR song coordinator. A huge Thank You to Stacy. We have decided to have a Regional Mass Sing beginning at competition 2010. Information about the songs we will sing will be provided soon. Please encourage your chorus members to learn the STAR songs and participate in the Mass Sing. It'll be lots of fun!!!

Chapter Insurance

All Sweet Adelines International chapters in the United States are required to purchase liability insurance through a group plan provided by the international organization. This is part of the charter and recharter each May 1st.

This coverage provides protection for claims brought by third parties who may have been injured or had property damage by activities of members or chapters.
This coverage is for legal liability, which means the claimant must show that the member or chapter was negligent in causing the accident. It is NOT voluntary coverage which pays even though we are not at fault.
This policy covers normal chapter activities, but does NOT cover unusual activities, such as fireworks, carnival and amusement rides, racing events and sporting events.
This coverage does not cover chorus members. It also does not cover chorus property.

Other insurance your chorus might want to consider:

Policies can be purchased from local insurance agenciesto cover such items as risers, sound equipment, music cabinets, and financial records.
Some choruses rent space to store these items and might find this good coverage to carry to protect these items from fire, theft, tornadoes, etc.

Guidelines for Reimbursement

Expenses incurred by the RMT and regional managers are generally reimbursable. These amounts are spelled out in the budget.
Although the budget itself is not on this site, the Finance Coordinator or the RMT member you report to will be happy to advise you at any time.
For reimbursement expenses should be submitted on a reimbursement form. Reimbursement forms are available from the Finance Coordinator or any RMT member.
A blank form will be available on the wiki site soon.
Receipts for all expense should be attached to this form and the form should be signed by the appropriate RMT member.
Forms can be sent to the Finance Coordinator in two ways.
- The first is by snail mail.
- Or if you have the technology, receipts can be scanned and submitted along with a filled our reimbursement form and the email approval of the RMT member and all of this can be sent electronically to the Finance Coordinator.
Reimbursement forms should be submitted to the Finance Coordinator within 60 days of incurring the expense.

Attention Chorus Treasurers! The Regional Assessment of $40 per member is based on the numbers that Sweet Adelines International have for you as of April 30 each year. You will receive a letter with that information, in addition to the listing of the members on your roll as of April 30th. The letters will go out in June and will be due August 15th. Be sure your roll with International is correct prior to April 30th each year.

The following provides information about each of the filing requirements. Regional Management Team members and committee managers will estimate their budget needs for the next fiscal year and submit the information to the Finance Coordinator in the fall. The Finance Coordinator will assemble the information from all Coordinators and estimate possible income for the next fiscal year. The proposed budget will then be submitted to the RMT for review and revision. The goal is a balanced budget.

The RMT will finalize the budget at the January/February meeting.
